In the system of distance education, pre-admission counselling plays a pivotal role and provides the necessary connect between the institute and isolated learners. The technological explosion has drastically transformed the distance education as a system. Moving in time with technological advancement,

University School of Open Learning (USOL) makes sincere efforts to counsel its distant learners through the use of various media.

 

USOL uses Panjab University Community Radio Station, Jyotirgamaya 91.2 to broadcast the course specific information recorded by the faculty members of USOL. These recordings are broadcast under the programme ‘Shiksha Ke Anek Ayam’ since August, 2019.

 

Print media continues to be popular and advertisements regarding admission to various courses are printed in leading English, Hindi and Punjabi newspapers.

 

Pre-Admission activity also includes telecast of programmes enlightening the general public about the nature of distance education, the online admission process and the availability of seats. In the programme “Career Counselling; Distance Education” telecast by Doordarshan on 31st July, 2019 details of course and fee structure were given by our Chairperson, Professor Madhurima Verma.

 

Awareness about distance education programmes is also displayed on the USOL Facebook Page. Our distinguished alumni also spread the word. The WhatsApp groups provide yet another platform to disseminate information regarding admission in addition to responding to admission related queries.

 

USOL educates the potential learners through YOUTUBE Channel. Every programme highlights the distinguishing features of its syllabi and also creates awareness about their future prospects.

All the admissions in USOL are Conducted Online since 2016. A dedicated admission portal for admission at USOL has been designed for the purpose. It is a student friendly portal at which student fill the Admission cum Examination forms easily. On this portal all the relevant details regarding eligibility conditions, admission criteria, fee details, availability of fee-concessions and scholarships etc. along with steps to follow for filling up the online application forms and fees is given in simple language. This system is encrypted and password protected to eliminate any kind of hacking of students’ information. Admission portal is opened for limited time period as per prior-decision of the Admission Committee in accordance with the schedule of DEB-UGC. The admission notice is advertised in leading newspapers of the region and publicized through radio and social media.

 

In case of the programmes where seats are limited (B.Ed., M.B.A., etc.), online applications are invited at the portals dedicated to these programmes, merit list is prepared and physical counselling is done in accordance with the merit.

For payment of the fees, USOL offers various modes that include Net-banking/ Debit Card/Credit Card. Those students who do not have facility of online payment, they are allowed to pay fee through Post Office in any Branch across India, using online generated post office Fee Challan.

 

After completing the online admission process. Admission is finalized after verification of the documents.

In USOL there is a proper mailing section with A.R Printing as the Head and a dedicated team which looks after the dispatch of study material to the students. A Lesson Dispatch Committee is constituted annually which supervises the timely dispatch of the study material. This committee consists of faculty members of USOL.

 

In the admission form, the students are given the option as to -whether they want to receive study material by post or collect personally.

 

Keeping in view the preferred options, the study material is provided to the learners. They are given the study material when they visit the department if they have opted for personal collection. In case the students have opted for study material by post, then it is dispatched to the address given by the students.

 

However, if the complete study material is not ready, then it is dispatched in phased manners. Students are informed through email about the dispatch of study material. In any case, it is ensured that students receive study material well in time.

 

In case of B.Ed. and MBA Programmes where the number of seats is limited and admission is done on the basis of merit, physical counselling is done for admission. The admitted students are given study material on the spot at the time of counselling

 

We upload the study material on the USOL website for easy and timely access by the students.

Punjab University Student Council is a proactive student body of Panjab University that is elected under the guidelines of the Lyngdoh Committee. Student elections are held every year and the students are given ample opportunities to voice their concerns on various issues. They are always encouraged to work democratically and amicably with the authorities. The Student Executive Council is centrally located in Student Centre with its own office. Student Council works closely with the Department Representatives, also elected along with Council. The Student Council plays important role in guiding new students in the admission process while setting up various Help Desks at Panjab University. Students from the council stand at various places to help the students reach their entrance tests. Student Council also plays a significant role as a bridge between the administration of the Panjab university and students. Owing to their efforts, the Women’s Hostel of Panjab University were opened 24 X7 with proper safety measures and introduced schemes like Earn While You Learn. Examination Hours bring an increased rush to the Reading room and Student Council plays a proactive role in ensuring that Libraries are open 24 Hours during examination days. Student Council also coordinates with administration and security to ensure the security of the libraries all day around. Student Council acts as a watchdog in the Hostel management and mess and canteens.

 

Student Council also plays an important role in ensuring the equality and dignity of all students in the campus and thus are given space in Panjab University Committee Against Sexual\ Harassment (PU CASH), SC/ST Cell and Disability Cell. Student nominees are also mandated in various scholarship disbursement committees which are constituted for the welfare of the students.

 

Student Council of Panjab University is a socially sensitive entity and thus plays a significant role in spreading social awareness through awareness campaigns, screening of movies and field trips. Every year, Student Council organizes two major cultural events namely Agaaz and Jhankar. These are platforms for hundreds of students to showcase their talents. Thousands of students from various departments participate in such events to create strong social bonding. This helps them to overcome the compartmentalization of their disciplines, degrees, and specializations. Religious trips to sacred places like Vaishno Devi, Naina Devi, Amritsar Sahib, and Anandpur Sahib help students to enjoy the rich cultural heritage of the region. The council also conducts academic trips to different parts of India which make the student familiar with the richness of Indian culture. In short, some of the prominent activities of the Student Council are as follows: –

 

1. Facilitation to the new students for filling up admission forms, admission procedures and Hostel allotments.

2. Collaborating with Campus security to ensure the smooth movement of As a result, the Women’s Hostel of Panjab University remains 24 X7 open from 2018 onwards.

3. Coordinating with Department representatives to highlight various concerns of the students in respective

Panjab University Alumni Association (PUAA), constituted in 1969 (registered in 1972) has the mandate to facilitate Alumni Engagement for ensuring emotional connect with their alma mater. This platform has the potential to not only connect with its illustrious alumni from all domains of intellectual enquiry, but also act as the spokesman of the alumni.

 

PUAA aims to bridge the gap with the alumni for :

 

  1. Networking amongst alumni as well as with the present students
  2. Collating feedback on processes and procedures of PU
  3. Alumni to be motivated for championing the cause of P.U. for
  4. Seeking voluntary support for improving teaching-learning processes and infrastructure 

The democratic functioning of the PUAA and its various chapters have ensured enthusiastic participation in its multifarious activities. The underlying principle of all our activities has been to make them feel loved and respected and make members part of the larger inter-connected family.

 PUAA has four overseas chapters besides vibrant alumni associations at departmental and college levels. Affairs of the association are managed through the executive council of 30 members and has a full- fledged office in Alumni Guest House on PU Campus. The three global alumni meets organised during the assessment period have received tremendous accolades. The Hon’ble Vice President of India and the Chancellor of Panjab University inaugurated the Global Alumni Meet in Nov, 2021.

 The association contributes a significant amount to the exchequer of the university through interest generated by the endowment funds, funds for memorial lectures and donations by the alumni members. Besides, the members also contribute liberally for the renovation of buildings, seminar halls, sectional libraries and laboratories.

 PUAA runs a talent tuck shop that offers customised gifts crafted by student’s start-ups, thus providing them a platform to showcase their creativity and business acumen. A robust Research Promotion Fund contributed by alumni corpus helps faculty with seed grants for research.

 Initiatives like Global alumni meets, batch reunions, alumni lecture series, wellness series, celebrations of important days involving illustrious alumni, recognizing and rejoicing the achievements of alumni has provided a renewed vigour to the organisation apart from instilling familial bonding.

The various activities/ best practices for achieving our objective of providing a platform for the alumni to remain in touch with their alma mater and to make our members feel valued as well as taking their feedback on various initiatives, types of lectures they want, wishing them with a hard copy card on their Birthday through the Dean Alumni Relations. We share success stories of our alumni regularly with our members.

During lockdown we undertook initiatives like ‘Talk to PUAA’, ‘Data Donation’, ‘Online poetry and Photography events’ to provide an online platform for stress management. We conducted more than 175 webinars and events and all have been well appreciated by our members. Departments are being motivated to develop databases of their alumni so as to help connect both at the departmental and university level. Similar efforts are also being undertaken at the affiliated colleges level.

 

PUAA has a comprehensive website integrated with all social platforms and mobile application for easy access. PUAA has its own You tube Channel. Multifarious activities undertaken by the Alumni Relations office are widely disseminated through the social media as well as are hosted on its interactive website, which can be viewed at https://www.alumnipuchd.org
